General Summary:

The Administrative Assistant will help support the Director of Business Development in organizing and completing tasks that allow the Director of Business Development to focus on more advanced responsibilities. Administrative Assistant duties include organizing meetings for administrator, assisting with presentation set up and paperwork, composing documents, preparing packets for sales team, assisting with the management and communication with volunteers, making phone calls on behalf of the Director of Business Development and other assigned duties as needed.

Primary Duties:

  • Schedule appointments and maintain calendars
  • Schedule and coordinate meetings and site tours for the ranch
  • Assist the Director of Business Development with planning and execution of fundraising events including social media to promote events
  • Prepare communications such as memos, emails, invoices, reports and other correspondence
  • Write and edit communications, from letters to reports and instructional documents
  • Create and maintain filing systems, both electronic and physical
  • Make phone cold and warm calls to potential sponsors and donors
  • Assist the Director of Business Development with the management, processing and training of volunteers

Requirements:

  • Must be able to type at least 45 wpm
    • Proficient in Microsoft Word, Excel, and PowerPoint
    • Knowledge of Canva, CRM database and Social Media Platforms preferred
  • Must have reliable transportation
  • Must be able to work flexible hours including weekend events, if needed
  • Must be able to lift at least lift 20lbs
  • Must clear full background check and fingerprint screening.

Skill Set:

  • Decision-making: Administrative Assistant should have the ability to make independent decisions on a daily basis, addressing the best way to handle specific tasks. Should also be able to work in a fast-paced environment.
  • Communications and collaboration: Administrative Assistant must be a team player in collaborating with other team members, support personnel, management and donors on a regular basis. Note: Due to the sensitive nature of our business, the Administrative Assistant must hold the highest standard of ethics and confidentiality for our residents.
  • Organizational skills: The ability to assist the Director of Business Development with scheduling, site tours and presentations.
  • Writing: Administrative Assistant will need to know how to write professionally, using proper spelling and grammar when creating emails, letters, documents and social media posts for Ranch Hands Rescue and Bob’s House of Hope.

Compensation:

Salary: Base salary with a commission structure and benefits package (To be discussed at interview)
